At Repairzone, we understand that circumstances change and plans may need to be adjusted. This Return and Refund Policy outlines the terms and conditions for cancellations and refunds of our event organization services. Please read this policy carefully before booking our services.
Nature of Our Services
Our event organization services are customized, time-sensitive offerings that require significant advance planning, vendor coordination, and resource allocation. Unlike physical products, event services cannot be returned in the traditional sense. This policy addresses cancellations, postponements, and related refund matters.
Deposit Policy
A deposit is required to secure your event date and initiate planning services. The deposit amount varies by package and will be clearly stated in your service agreement.
- Deposits are non-refundable once paid
- Deposits secure your date and begin the planning process
- Deposits can be transferred to a new event date within one year of original booking
- Date transfers are subject to availability and may incur additional fees
Cancellation Policy
We understand that unforeseen circumstances may require event cancellation. Our cancellation policy is structured based on notice timing:
Cancellation 30+ Days Before Event
If you cancel your event 30 or more days before the scheduled date:
- Full refund of all payments made, minus the deposit
- Deposit remains non-refundable but can be transferred to a future booking
- No additional penalties or fees
Cancellation 15-29 Days Before Event
If you cancel your event 15 to 29 days before the scheduled date:
- 50% refund of payments made beyond the deposit
- Deposit is non-refundable and cannot be transferred
- Refund accounts for work completed and vendor commitments made
Cancellation Less Than 15 Days Before Event
If you cancel your event less than 15 days before the scheduled date:
- No refund of any payments made
- Full payment becomes due if not yet paid
- Significant vendor commitments and work completed at this stage
Event Postponement
If you need to postpone rather than cancel your event:
- First postponement within one year: No additional fee if done 30+ days in advance
- Postponement with 15-29 days notice: Administrative fee of 15% of total package cost
- Postponement with less than 15 days notice: Administrative fee of 25% of total package cost
- Date changes subject to availability
- Additional costs may apply if new date requires different vendor rates
Force Majeure and Emergencies
In cases of genuine emergencies or circumstances beyond your control such as severe illness, family emergencies, natural disasters, or government restrictions, we will work with you to find a reasonable solution. This may include:
- Flexible rescheduling options
- Modified refund arrangements on a case-by-case basis
- Credit toward future services
- Partial service fulfillment if possible
Documentation may be required to validate emergency circumstances.
Service Modification Policy
Changes to your event services:
Guest Count Changes
- Increases: Can be accommodated up to 14 days before event, subject to availability
- Decreases: Refund of applicable per-guest fees if reduced 14+ days in advance
- No refund for reductions made less than 14 days before event
Package Upgrades or Downgrades
- Upgrades: Additional payment required, accepted up to 14 days before event
- Downgrades: Partial refund available if requested 30+ days in advance
- Both subject to service availability
Refund Processing
When a refund is approved:
- Refunds are processed within 14 business days of approval
- Refunds issued to the original payment method
- You will receive email confirmation when refund is processed
- Bank processing times may vary (typically 5-10 business days)
No-Show Policy
If you fail to appear for your scheduled event without prior cancellation notice:
- No refund of any payments made
- Event is considered completed
- No rescheduling options available
Dissatisfaction with Services
If you are dissatisfied with our services:
- Contact us immediately so we can address concerns
- We will work diligently to resolve issues during the planning process
- Post-event refunds are evaluated on a case-by-case basis
- Documentation of issues helps us address concerns fairly
We are committed to your satisfaction and will make reasonable efforts to resolve any legitimate concerns.
Cancellation by Repairzone
In the unlikely event that we must cancel your event:
- Full refund of all payments made, including deposit
- Assistance finding alternative event organizers if possible
- Reasonable compensation for demonstrated direct costs incurred
Weather-Related Cancellations
For outdoor events affected by severe weather:
- We monitor forecasts and discuss backup plans in advance
- Weather-related postponements treated as standard postponements
- If event must be cancelled due to dangerous conditions, standard cancellation policy applies
- Indoor backup options may be available depending on package
Policy Exceptions
This policy may be modified by mutual written agreement between you and Repairzone. Any exceptions or special arrangements must be documented in your service agreement.
How to Cancel or Modify
To cancel, postpone, or modify your event booking:
- Contact us by phone or email as soon as possible
- Provide written confirmation of cancellation request
- Include your booking reference number
- Allow 2-3 business days for processing
